FINANCING THE PERFORMANCE
The contract for each venue is negotiated individually, according to local conditions, and is based on an anticipated sale of 150 seats or more. The performance is usually financed in one of two ways:
1. The Host pays a guaranteed sum to the Company and the balance of the box office takings is retained by the Host.
2. The Host pays a smaller guarantee to the Company against an agreed percentage of the box office receipts.
TICKET PRICES
Each year we recommend ticket prices but, after prior agreement with the Festival Players, each Host can set prices at a rate they feel is appropriate.
In 2009 our recommended price was £12.50 with concessions for students/children £9.00. Under fives are usually free.
TIMETABLE FOR A PERFORMANCE
Our working relationship with you (the Host) and us (the Company) proceeds stage by stage as follows:
(1) We agree a date for the performance – as early as possible in the Summer/early Autumn of the year preceding the tour. Ideally we would like to be in a position to confirm our complete itinerary before the flyers are printed so that the tour can be printed on them. We recognise this may not always be possible.
(2) We agree the financial basis for the performance.
(3) The contract is issued in October/November. Venue details – date, venue, ticket prices, ticket booking line and ticket sales outlets (e.g. local Tourist Information Centres) to be confirmed by the Host in the returned contract.
(4) Flyers (1000) are printed and available for the Host by the end of March.
(5) Tickets are printed and available for the Host by the end of February.
(6) Marketing help is available as required in consultation with the Host. Marketing of the performance in magazines which have long lead time schedules can begin as soon as the flyers are printed.
